How we handle your information.

This notice explains what personal data we collect through our website and enquiry forms, how we use it, and the rights you have under UK GDPR and the Data Protection Act 2018.

Who we are

This website is operated by Medicstar (UK) Limited, trading as InstantVitaLabs. Medicstar (UK) Limited is the pharmacy business behind the service. The registered pharmacy is Pelican Pharmacy, 405 Stockport Road, Timperley, Altrincham, WA15 7XR, which is registered with the General Pharmaceutical Council (GPhC). What we collect

When you use our enquiry forms, we collect the details you submit, which may include:

  • Your name
  • Email address
  • Telephone number
  • Clinic or business name (where provided)
  • Service or area of interest
  • Any information you choose to include in your free-text message

Special category (health) data

Information about your health is treated as special category data under UK GDPR and is subject to stricter protection. Please avoid including detailed medical information in the free-text field of any enquiry form. If clinically relevant health information is needed later, we will collect it through an appropriate consultation with a suitable lawful basis in place.

Lawful basis

We process personal data on the following bases:

  • Article 6(1)(b) — where processing is necessary to take steps at your request before entering into a contract (e.g. responding to a clinic enquiry).
  • Article 6(1)(f) — our legitimate interests in responding to general enquiries and running our business.
  • Article 9(2)(h) — where processing of health-related data is necessary for the provision of health or pharmacy services, under the responsibility of a health professional.

How we use and store it

Enquiries are received in our secure Microsoft 365 business email environment and may be logged in an internal system to manage and respond to them. Access is restricted to staff who need it to respond to your enquiry or provide the service. We do not sell your data, and we do not share it with third parties for marketing.

Retention

Enquiry records are kept only as long as necessary to respond and for a reasonable period of follow-up, after which they are deleted or anonymised. Records relating to pharmacy services are retained in line with applicable NHS and GPhC record-keeping requirements.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data (rectification)
  • Ask us to erase your data where applicable
  • Restrict or object to certain processing
  • Withdraw consent, where processing is based on consent
